Incentive travel in Madrid: 2, 3 and 4-day itineraries

Madrid works very well for short incentive trips: art, food, flamenco and football in the city, plus four UNESCO World Heritage sites an hour or less away by train or coach. Here are three base itineraries of 2, 3 and 4 days, with transfer times published by esMADRID, activities that really exist and the practical rules worth knowing.

Incentive travel in Madrid: 2, 3 and 4-day itineraries

Why does Madrid work for an incentive trip?

An incentive is a reward. The people travelling need to feel it from day one, and that depends less on the destination than on how the time is organised. Madrid has three clear strengths for this format:

  1. The city is walkable. Habsburg Madrid (Madrid de los Austrias), the Barrio de las Letras and the Paseo del Prado are close to one another. The Landscape of Light, which joins the Paseo del Prado and the Retiro park, has been on the UNESCO World Heritage List since 2021.
  2. Day trips are short. esMADRID counts nine World Heritage sites less than two hours away, and four of them (Toledo, Segovia, El Escorial and Aranjuez) are an hour or less from the city.
  3. The evening is part of the programme. Spaniards dine late and street life goes on into the night. A flamenco tablao, a dinner in a palace or a rooftop terrace fit in without forcing the schedule.

Before choosing an itinerary: six questions

  • Who is travelling? Sales staff who have won a reward, distributors or VIP clients each need a different pace.
  • Where from? A European group can make the most of two full days. A group crossing the Atlantic needs a gentle first day.
  • When? The season changes outdoor activities and hotel availability.
  • Are partners coming? That changes the type of activities and the need for free time.
  • Is there a business element? A two-hour meeting in the morning fits in well; a full day turns the trip into a convention.
  • What story should the trip tell? Art, food, sport, history. One clear theme works better than a little of everything.

Transfer times from Madrid

These are the times published by esMADRID. With groups we usually travel by private coach: the train is fast, but it adds two transfers at each end.

Destination Train Coach or car World Heritage
Toledo About 25 min on the AVE from Atocha About 60 min on the A-42 or 50 min on the AP-41 Since 1986
Segovia About 25 min on the AVE from Chamartín About 70 min on the A-6 and AP-6 Since 1985
San Lorenzo de El Escorial 45 min by Cercanías commuter train from Chamartín, 60 from Atocha About 45 min, roughly 50 km away Monastery and Royal Site, since 1984
Aranjuez About 40 min by Cercanías commuter train from Atocha About 40 min on the A-4 Cultural landscape, since 2001

The three itineraries at a glance

Itinerary Who it suits Trip outside Madrid Best season Pace
2 days: Madrid essentials Spanish and European groups, sales teams No All year, best in spring and autumn Moderate
3 days: Madrid and Toledo Mixed groups, distributors, first trips to Spain Toledo March to June, September to November Moderate
4 days: Madrid, Segovia and the mountains Long-haul groups, VIP clients Segovia and El Escorial April to June, September and October; in winter, with snow Moderate to active

These are working templates. In each proposal we adjust timings, venues and activities to the date, the group size and the purpose of the trip.

Itinerary 1: Madrid essentials in 2 days

For groups arriving in the morning who want the city, good food and a night out without losing time on transfers.

Day Time Activity
Day 1 11:00 Arrival at Barajas airport or Atocha station, private transfer and check-in at a city centre hotel
13:30 Welcome lunch at a traditional casa de comidas
16:30 Guided walk through Habsburg Madrid in small groups: Plaza Mayor, Plaza de la Villa, the area around the Royal Palace
19:00 Team tapas trail with clues, in the style of the "Tapas Hunter" suggested by the Madrid Convention Bureau
21:30 Dinner and show at a flamenco tablao
Day 2 10:00 Guided visit to the Prado Museum in small groups
13:00 Spanish cookery workshop: paella or tapas, then lunch on what you have cooked
16:00 Free time in the Barrio de las Letras or the Salamanca district
20:30 Farewell dinner and awards at the Casino de Madrid
Day 3 Morning Transfer to the airport or station

Why it works: everything is on foot or a few minutes away by coach, and the group experiences the city in two registers: by day, art and neighbourhoods; by night, flamenco and a gala.

Details that matter:

  • The tablao. esMADRID lists a wide range: Corral de la Morería, which it calls "the cathedral of flamenco"; Tablao Flamenco 1911, in the Barrio de las Letras, heir to the old Villa Rosa; and Teatro Flamenco Madrid, in Malasaña, presented as the first theatre dedicated to flamenco. Each has a different capacity and format: large groups usually need to book a show exclusively.
  • The gala dinner. The Salón Real at the Casino de Madrid holds 224 people for a banquet and 350 for a reception according to its Madrid Convention Bureau listing. For larger groups, look at the options in our guide to unique venues by capacity.
  • The Prado. Groups visit with guides and in small groups during opening hours. Conditions for after-hours visits are checked with the museum for each date.

Itinerary 2: Madrid and Toledo in 3 days

The classic for a first trip to Spain: the capital and the city of three cultures, with a day of sport or city life to finish.

Day Time Activity
Day 1 14:00 Arrival, transfer and check-in
17:00 Tour of the main monuments by Seat 600 or Vespa, with photo stops
20:30 Welcome dinner on a terrace or rooftop in the centre (May to September) or in a restaurant with a private room
Day 2 9:30 Coach to Toledo, avoiding rush hour
10:45 Guided visit: the Primate Cathedral, the Jewish quarter and the Synagogue of El Tránsito, home to the Sephardic Museum
14:00 Lunch of La Mancha cuisine
16:00 Marzipan workshop or tasting, a convent tradition in the city
17:30 Return to Madrid and free afternoon
21:00 Free dinner or suggested bookings by area
Day 3 10:00 Stadium tour: Santiago Bernabéu or Riyadh Air Metropolitano
13:30 Lunch in a food market or a casa de comidas
16:00 Free afternoon
20:30 Gala dinner in a unique venue
Day 4 Morning Transfer to the airport

Variation: if the group is in Madrid midweek and there is a match, the afternoon of day 3 can be a LaLiga or European fixture. The fixture list for the Bernabéu and the Metropolitano is published on esMADRID, but final dates and kick-off times are confirmed late: we always use the stadium tour as the base plan.

Why it works: Toledo can be explored in a day without staying overnight, and the stadium day gives the group a different kind of moment, one that carries real weight in Madrid.

Details that matter:

  • Toledo is a hilly city. Narrow, steep streets: warn the group about footwear and drop the coach as close as possible to the starting point.
  • Puy du Fou España, the historical show park in Toledo, is less than an hour from Madrid according to esMADRID. Its opening days and times vary by season: they need confirming for each date.
  • The day 3 gala dinner. Real Madrid offers corporate events at the stadium: its official website states up to 550 people in the Palco de Honor and 5,000 on the pitch. For a football-loving group, it is a night few will forget.

If the trip includes a meeting element, there is a base programme in our convention in Toledo.

Itinerary 3: Madrid, Segovia and the mountains in 4 days

For groups travelling from far away who want more than the city. Two day trips, one to Segovia and another to El Escorial and the Sierra de Guadarrama, with Madrid as the base.

Day Time Activity
Day 1 15:00 Arrival, transfer and check-in. Easy afternoon
20:30 Welcome dinner at the hotel or nearby, with no transfers
Day 2 9:30 Coach to Segovia
10:45 Aqueduct, Alcázar and cathedral with a guide
14:00 Lunch of roast suckling pig (cochinillo) at a traditional mesón
16:30 Free time in the historic centre
18:30 Return to Madrid
21:00 Free evening
Day 3 9:30 Coach to San Lorenzo de El Escorial
10:30 Visit to the Monastery: basilica, royal pantheons and the Habsburg Palace
13:30 Lunch in the mountains
15:30 Activity depending on the season: a walk in the Bosque de La Herrería, golf or, in winter, snow at Navacerrada or Valdesquí
18:30 Return to Madrid
21:00 Dinner with flamenco
Day 4 10:30 Closing activity in Madrid: rooftops, a food market or a visit to the historic tunnels and metro stations
14:00 Free lunch
20:30 Gala dinner in a unique venue
Day 5 Morning Transfer to the airport

Why it works: the group sees three different sides of the Madrid region (the city, the Roman and medieval Castile of Segovia, and Philip II's monastery with the mountains) without changing hotel.

Details that matter:

  • The Segovia aqueduct has 166 arches and was built without mortar, according to esMADRID. It is the photo of the trip: leave time for it.
  • The ski resorts of Navacerrada (2,177 m altitude and 10 km of slopes) and Valdesquí (2,280 m and 22 km) are less than 70 km from the city, according to the Madrid Convention Bureau. They only work when there is snow, so they always come with a plan B.
  • The day 4 gala dinner. For groups of 200 to 900 people, the Royal Collections Gallery (Galería de las Colecciones Reales) has a large terrace overlooking the Campo del Moro gardens with standing capacity for 900, and many of its spaces are only available once the museum has closed.
  • If the group is very active, day 3 can be swapped for a day at the Jarama circuit, which the Madrid Convention Bureau presents with a 50,000 m² paddock and GT driving.

For a programme that includes meetings in Segovia and La Granja, see our convention in Segovia.

Southern alternative: Aranjuez

If the group already knows Segovia or is travelling in spring, Aranjuez makes a very pleasant day trip. It is about 40 minutes away and its gardens have been a UNESCO World Heritage cultural landscape since 2001. The Casa del Labrador reopened to visitors on 9 October 2025, according to esMADRID. In spring the Tren de la Fresa (Strawberry Train), a heritage train between the Madrid Railway Museum and Aranjuez, runs: in 2026 its season ran from 22 March to 7 June.

Activities you can combine

The Madrid Convention Bureau publishes a list of incentive activities. These are the ones that usually fit best:

Practical rules for an incentive in Madrid

  • Dinner times. In Spain people dine later than in northern Europe. With international groups we set the start time between 20:00 and 21:00 and agree a fixed service schedule with the venue.
  • Summer heat. AEMET gives an average July maximum of 32.1°C in the Retiro. Outdoor visits go first thing in the morning and outdoor dinners once the sun goes down.
  • City festivities. Around 15 May, the San Isidro festival fills the city with events. It is a good hook for the programme, but check what is open.
  • Major events. The Champions League final scheduled for 5 June 2027 at the Metropolitano and the Formula 1 Grand Prix from 10 to 12 September 2027 fill hotels. Check the Madrid trade fair calendar 2027 before fixing your dates.
  • Arrivals. The airport express bus runs 24 hours a day, but for an incentive group a private transfer with a welcome in the terminal is part of the experience.
  • Small groups. In museums and the historic centre we work with small groups and official guides, with audio guides so nobody falls behind.

How we design your incentive

We start from what the trip needs to achieve: reward, build loyalty or motivate. We choose a theme, adapt one of these itineraries to your dates and group size, and turn it into a proposal with timings, venues, transfers and itemised costs. We send it to you within 24 business hours.

The MC Group team has more than 20 years' experience designing incentive travel and gala dinners, and has organised more than 100 corporate events in Madrid, with dedicated staff and event planners in the city. For the special night's show we can bring in Mr. Fenómeno, the group's entertainment brand. Tell us your idea through our contact page.

Frequently asked questions

How many days does an incentive trip to Madrid need?

Three days is the most balanced length: enough for the city, a day trip to Toledo or Segovia and a special dinner without rushing. Two days work for Spanish or European groups on short flights. For long-haul groups we recommend four days, with two trips outside the city.

How long does it take to get from Madrid to Toledo and Segovia?

According to esMADRID, about 25 minutes on the AVE high-speed train to Toledo from Atocha and about 25 minutes to Segovia from Chamartín. By car or coach, about 60 minutes to Toledo on the A-42 and about 70 minutes to Segovia on the A-6 and AP-6. With groups we usually travel door to door by private coach.

What incentive activities are typical in Madrid?

The Madrid Convention Bureau suggests, among others, tours by bike, Vespa or Seat 600, rooftop walks, Spanish cookery, churros with chocolate, tapas trails, visits to historic tunnels and metro stations, stadium tours at Real Madrid and Atlético, golf, skiing in the mountains and driving at the Jarama circuit.

When is the best time for an incentive trip to Madrid?

Spring and autumn. May and September to October combine mild temperatures with long days. In July the average maximum in the Retiro is 32.1°C according to AEMET, the Spanish weather agency, so in summer we schedule outdoor activities early in the morning or in the evening.

Can a group go to a football match?

Yes, but the LaLiga fixture list is confirmed at short notice and the day and kick-off time can change. That is why we treat it as an option and always secure an alternative, such as a stadium tour or an event in the stadium's own spaces, which can be booked with more certainty.

Can a winery or wine region be included?

Yes. Near Madrid there are towns with a winemaking tradition, and the Toledo day trip can be combined with a winery visit. Ribera del Duero is further away than Toledo or Segovia: we only consider it for programmes of four days or more, with timings confirmed in the proposal.

Do you also arrange entertainment for the incentive?

Yes. For the gala night we can include flamenco at a tablao or a bespoke show. Mr. Fenómeno, the group's entertainment brand, also performs in Madrid.
