Why hold a congress in Madrid?
Madrid ranked 13th in the world in the ICCA 2025 ranking, with 108 international association meetings, and the Madrid Convention Bureau presents it as the first city to have won the World Travel Awards prize for the world's leading meetings and conference destination seven times. Rankings help a bid, but the final choice usually comes down to more practical matters: how delegates get there, where they sleep and what it costs them.
On all three, Madrid has strong arguments. Madrid-Barajas airport handled more than 68 million passengers in 2025, according to Aena, and the city is the hub of Spain's high-speed rail network, so a national congress can bring in a large share of its delegates by train. The city had 93,767 bed places in hotel establishments in December 2025, according to the City Council's Economic Observatory. And the IFEMA exhibition centre, next to the airport, can host congresses with thousands of delegates and a large commercial exhibition. The European Society of Cardiology Congress, for example, brought more than 33,000 specialists to Madrid in August 2025, according to the City Council.
What happens between sessions matters to delegates too: world-class museums, a food scene that runs late into the night and neighbourhoods made for walking. For the destination data in detail, see MICE Madrid.
What exactly does a conference organiser do?
A congress runs on two teams. The scientific or organising committee decides the programme and the speakers; the PCO makes all of that happen in one place, on one date and within one budget. Our work as a PCO includes:
- Planning the congress from start to finish, with a timeline of milestones and owners shared with the committee.
- Negotiating with the venue and hotels on rooms, build times, exclusivities, room blocks and release schedules.
- Managing registration and scientific submissions: forms, fees, invoices, certificates and, where relevant, receiving and reviewing abstracts.
- Looking after speakers: travel, accommodation, presentations, rehearsals and support in the room.
- Producing the congress: AV, signage, badges, interpreting, streaming, catering and staff.
- Designing the social programme: reception, official dinner and complementary activities.
- Controlling the budget and presenting the final account to the committee.
How do we run a congress?
- Brief and feasibility. Expected attendance, possible dates, scientific format, commercial exhibition and budget. We check which weeks to avoid because trade shows and congresses fill the hotels, using the Madrid trade show calendar 2027.
- Proposal within 24 business hours. Two or three venue options with availability, a first budget outline and a work schedule.
- Site visits and contracting. We accompany the committee on site inspections, negotiate terms and review venue and hotel contracts.
- Production. We open registration, coordinate suppliers and speakers, and finalise the floor plan for each room and the running order for each session.
- The congress. Our team on site from the build to the last breakdown, with one person in charge of each area.
- Wrap-up. Final account, attendance report, surveys and a lessons-learnt meeting for the next edition.
Congress venues in Madrid
The venue shapes everything else: capacity, number of parallel rooms, exhibition, transport and nearby hotels. These are the main families of options:
| Type of venue | Size range | Examples |
|---|---|---|
| Exhibition centre with convention centres | From 1,000 to tens of thousands of delegates | IFEMA MADRID |
| Congress centre | From 300 to nearly 2,000 people in plenary | Palacio Municipal de IFEMA |
| Hotels with an auditorium and convention centre | From 100 to 2,000 people | Madrid Marriott Auditorium, NH Collection Eurobuilding |
| Cinemas and large-format auditoriums | Plenaries of up to 1,000 seats per screen | Kinépolis Madrid |
| Institutional and cultural venues | Scientific meetings and social programme events | Casa de América, Círculo de Bellas Artes |
Under convention centres you will find verified figures for each venue, and under convention hotels the options that combine meeting rooms and bedrooms in the same building.
What you need to know about IFEMA
Most of Madrid's large congresses take place at the IFEMA exhibition centre in Campo de las Naciones. It has two convention centres, North and South, with auditoriums for 1,100 and 600 people, and the Palacio Municipal, with an Auditorium A of 1,812 seats and 32 meeting rooms. It is about 4 kilometres from the airport and connected by metro. Its advantage is scale; its challenge is that the area has less going on than the city centre at dinner time. That is why we usually combine the venue with hotels in the Campo de las Naciones area and a social programme in the centre, with transfers taken care of.
The team's experience
In Madrid, the team has organised more than 100 corporate events and has dedicated staff and event planners in the city. They include Provital's workshop for 75 cosmetics professionals, with talks, hands-on sessions and networking. For international congresses, the group has produced the WSEI medical congress in Barcelona, with scientific sessions, a reception and a gala dinner in three different venues, all coordinated through a single running order. You will find our events in Madrid and the group's case studies in other cities under case studies.
What we usually advise committees
- Book the hotel and venue together. During major congress and trade show weeks, the bottleneck is bedrooms, not meeting rooms.
- Read the exclusivities before you sign. At large venues, catering, AV or stand building may be reserved for specific suppliers.
- Think about daily transport. If the venue is at IFEMA and the hotels are in the centre, plan morning and evening transfers with time to spare for traffic.
- Look after the social programme. It is what people talk about most afterwards, and it helps attendance at the next edition.
- Have a plan B for every outdoor activity, especially in summer, when the midday heat in Madrid is intense.
If your congress is at the bid stage or already has dates, tell us about the project and we will send you a first proposal within 24 business hours.
