Corporate event formats at a glance
Each format serves a different objective and has its own lead times. This table helps you place your project before you start talking about venues or budgets.
| Format | What it is for | Usual length | Suggested lead time | Where to find it |
|---|---|---|---|---|
| Company convention or sales kick-off | Aligning the team with the year's strategy | 1 to 3 days | 6 to 9 months | Company conventions |
| Congress | Bringing together a professional or scientific community | 2 to 4 days | 18 to 36 months | Congress organisation |
| Meeting or seminar | Working, deciding or training | Half a day to 2 days | 3 weeks to 3 months | Meetings and seminars |
| Incentive trip | Rewarding teams, distributors or clients | 2 to 5 days | 4 to 6 months | Incentive travel |
| Gala dinner | Celebrating, recognising or closing a programme | One evening | 4 to 12 months | Gala dinners |
| Product launch | Presenting something new to press, clients or the sales network | A few hours to 1 day | 2 to 3 months | Product launches |
| Trade show hospitality | Making the most of clients and press being in town | One evening or one morning | 6 to 12 months | Trade show events |
In Madrid it is common for several formats to be combined. An annual convention ends with a gala, a congress includes pharma company meetings, and a FITUR exhibitor uses the week to bring its sales network together. Designing that combination with a single running order and a single budget is one of the most useful parts of our work.
How do you choose the right format?
Before thinking about the venue, it helps to answer four questions:
- What needs to change after the event? If you want the team to leave with clear objectives, we are talking about a convention. If you want to say thank you for results, an incentive or a gala. If you need clients to try a product, a launch.
- Who is attending and where are they coming from? A Madrid-based team can meet in one day. If delegations are arriving from other cities or countries, you need to add hotels, transfers and at least one night.
- How much content is there? Two hours of presentations fit into a morning. Three days of parallel sessions call for a convention centre or a hotel with many rooms.
- What budget and dates do you have? The two variables affect each other: the same convention costs a different amount in a trade show week than in a quiet week.
With those answers we propose a format, one or two venues and a realistic timeline.
Why Madrid for a company event?
Madrid brings together three advantages that carry real weight for a corporate event. The first is connectivity: Madrid-Barajas airport handled 68.2 million passengers in 2025, according to Aena, and the city sits at the centre of Spain's high-speed rail network. A team spread across Spain can arrive by train in the morning and head home in the evening.
The second is scale. According to the Madrid Convention Bureau, 54,784 meetings with 2.58 million participants were held in the city in 2024. Behind those figures is a first-rate exhibition centre, IFEMA MADRID, hotels with auditoriums for more than a thousand people and a supplier network used to working at that pace.
The third is that Madrid is home to many of the large companies, public administrations and organisations operating in Spain. For many clients, holding the event here means having executives, speakers, press and institutional guests close at hand. For the full destination data, see MICE Madrid.
What does a specialist MICE agency bring?
A large corporate event is, above all, a coordination problem: venue, hotel, AV, catering, transport, speakers, registration and security all have to come together at the same minute. A MICE agency brings three things that are hard to assemble in-house:
- Method. A timeline with milestones, owners and deadlines that is repeated on every project and does not depend on anyone's memory.
- Negotiation. We know what to ask a venue: build hours, catering or AV exclusivities, minimum spends, room blocks and cancellation clauses.
- Capacity on the floor. On the day there is a team with a running order, headsets and a plan B for every block.
The MC Group team has more than 20 years of experience producing events for brands such as Microsoft, Logitech, Sanofi, Nestlé, Volkswagen and Movistar. In Madrid it has organised more than 100 corporate events, with dedicated staff and event planners in the city. ECM is the group's brand for Madrid; in Barcelona, its sister brand is ECB.
Common mistakes when organising a corporate event in Madrid
- Fixing the date without checking the IFEMA calendar. FITUR, ARCOmadrid or a major medical congress fill hotels and push up rates across the city. Check the Madrid trade show calendar 2027 before you hold anything.
- Choosing the venue from a photo. A beautiful space may have impossible loading access, an early closing time or a real capacity far below the advertised figure for the set-up you need.
- Underestimating transfers. Distances in Madrid are greater than they look on the map, and rush-hour traffic on the M-30 or the A-2 can upend a running order. We time every journey with a margin.
- Contracting suppliers separately. Five contracts with five companies and no common coordinator multiply the gaps and the surprises.
- Leaving content until last. Speakers, presentations and rehearsals need weeks. AV is designed around the content, not the other way round.
- Forgetting the weather. July and August are very hot in Madrid, and terraces and courtyards need a plan B in winter. We look at this in the guide the best time for events in Madrid.
How we work
- Brief. Objective, audience, possible dates, number of attendees and indicative budget.
- Proposal within 24 business hours, with a recommended format, two or three venues with availability and a first itemised estimate.
- Site visits and contracting. We organise site inspections, negotiate terms and review the contracts with you.
- Production. Suppliers, AV, catering, transfers, materials, registration and rehearsals, with a shared timeline.
- The event. Our own team on site, with one person in charge of each area and a single phone number for you.
- Wrap-up. Final account with the same breakdown as the proposal, a survey and a lessons-learnt report.
What events have we organised in Madrid?
More than 100 corporate events, with dedicated staff and event planners in the city. Some have a full case study: Edenred's Christmas dinner with video mapping at Espacio Harley, its Edenrock Music Fest at Hard Rock Cafe Madrid, the Madrid stop of Lindt's roadshow, Provital's workshop for 75 professionals and Beso's 10th anniversary party at Florida Park.
The group also has case studies in other cities, such as the WSEI international medical congress in Barcelona, the Logitech and Microsoft events during ISE, also in Barcelona, and Edenred's E-Day in Sitges. You will find them all, each with its real city, under case studies.
What we do not do
We do not organise private events or personal celebrations, and we do not sell tickets or produce concerts open to the public. We focus on events for companies and associations. If you are looking for a show or performers for your event, our sister brand Mr. Fenómeno performs in Madrid, and we coordinate it within the same project.
Do you have an event in mind? Tell us about it and we will send you a first proposal within 24 business hours.
