Four types of venue for four needs
Convention centres and exhibition centres
For congresses with a commercial exhibition, large plenaries and many parallel rooms, Madrid has the IFEMA exhibition centre, with its North and South convention centres, and the Palacio Municipal, with an auditorium of 1,812 seats. We compare them under convention centres.
Convention hotels
Plenary, breakout rooms, meals and bedrooms in the same building. This is the most common choice for company conventions, sales kick-offs and multi-day meetings. Madrid has hotels with auditoriums for 2,000 people and banqueting rooms for 1,000. Compare them under convention hotels.
Meeting and seminar rooms
Business hotels, congress centres with modular rooms, and cultural and institutional venues with rooms for 20 to 350 people. They suit meetings and seminars, training sessions, board meetings and press briefings. See them under meeting rooms.
Unique venues
Palaces, historic clubs, royal factories, cultural centres in former industrial buildings and rooftop terraces for gala dinners, receptions, product launches and incentives. You will find them under unique venues.
How we choose the venue for your event
Before proposing a venue we always check the same things: the objective of the event, the number of attendees and the set-up, the dates and their alternatives, the itemised budget, the profile of the group and what happens before and after: accommodation, transfers and dinners. In Madrid we add a variable that carries a lot of weight: the area. An event next to IFEMA, a few minutes from the airport, is very different from one in the historic centre or on the Castellana. With all that we prepare a shortlist of two or three options with confirmed availability, not a catalogue of fifty.
How we handle the search and booking
- Availability request. We ask each venue for date, capacity and terms using the same brief, so the replies can be compared.
- Options and provisional holds. We hold the date while you decide and keep track of every confirmation deadline.
- Site inspections. We visit with you or on your behalf. We check access, loading and unloading, catering back-of-house, dressing rooms, power supply, acoustics, wifi and an outdoor plan B.
- Negotiation. We compare rates, minimum spends, build and breakdown hours, catering or AV exclusivities and cancellation terms. With hotels, also the room block and its release schedule.
- Contract. We review deposits, payments, cancellation, force majeure, insurance and permits, and explain every clause to you before you sign.
- Production. Once the venue is confirmed, we coordinate catering, AV, set design, staff and logistics through a single point of contact.
Which venue suits each format?
| Format | Usual type of venue | Where to start |
|---|---|---|
| Congress with commercial exhibition | Exhibition centre or congress centre | Convention centres |
| Multi-day convention with accommodation | Hotel with auditorium or ballroom and breakout rooms | Convention hotels |
| Meeting, seminar or board meeting | Business hotel meeting room or institutional venue | Meeting rooms |
| Gala dinner or reception | Palace, historic club or grand hall | Unique venues |
| Product launch | Cultural venue, industrial space or large-format cinema | Product launches |
| Incentive | Hotel, unique venues and nearby day trips | Incentive travel |
Many programmes combine several venues: the plenary at a convention hotel or at IFEMA, a welcome dinner in a hall in the centre and client meetings at a hotel on the Castellana. Designing that sequence with realistic transfers and timings is part of our job.
Rules worth knowing
Many of Madrid's unique venues are listed buildings or public and cultural facilities. That means events outside visiting hours, quick builds, restrictions on sound and rigging, approved caterers in some cases and permits for shows or special effects. During major trade show and congress weeks at IFEMA, availability drops and terms change. We take this into account from the very first proposal.
How to read our venue pages
Each venue page sets out its main data, such as capacities, rooms, bedrooms or location, taken from the venue's official website or the Madrid Convention Bureau, with a link to the source and the date it was reviewed. When a figure is not published or sources disagree, we leave it out. We also indicate which formats each venue suits and what is worth checking from a production point of view. For capacity comparisons, see the guide unique venues in Madrid by capacity.
