What makes a good meeting room?
A meeting room works when nobody thinks about it. To achieve that we always check the same things: natural light, good ventilation and a steady temperature, acoustics without echo, a screen visible from every seat, reliable wifi with enough capacity, sockets near the tables, a coffee area that does not interrupt the session and a spare room for calls or working groups. If the meeting is hybrid, we add cameras, room microphones and a technician.
How to choose the room
- Capacity in the real set-up. A room for 100 theatre-style takes about 50 classroom-style and about 30 in a U-shape.
- Location. Close to the hotel or the station the group arrives at. In Madrid, the area makes a big difference to journey times.
- Format. Presentation, discussion, group work or computer-based training.
- Atmosphere. A business hotel conveys efficiency; a palace or a cultural centre, something else.
- Included services. AV, coffee breaks, lunch and staff, or just the space.
Usual rules at cultural and historic venues
Cultural and historic venues in central Madrid have their own rules: timings tied to their programme, set-up restrictions, approved caterers and, sometimes, conditions on how the event may be communicated. We check all this before proposing them, so the programme fits those rules.

Unique venues with meeting rooms
For leadership meetings or creative sessions, some cultural venues combine meeting rooms with spaces for lunch or dinner. Casa de América occupies the Palacio de Linares, a 19th-century building facing Cibeles; the Círculo de Bellas Artes is in a building by Antonio Palacios opened in 1926, with a rooftop above the Calle de Alcalá. How we organise it
We request availability with a common brief, compare rates and terms, arrange the visit if you need one and coordinate AV, coffee breaks, lunch, materials and accommodation. On the day of the meeting, someone from our team is in the room. We explain it in detail under meetings and seminars.
