Frequently asked questions

Here are the questions companies, associations and agencies ask us most before organising an event in Madrid: who we are, how we prepare a budget, how we choose venues and hotels, what you need to know about IFEMA and the trade shows, and how congresses, incentives and logistics work in the city.

About ECM

What is ECM?

ECM (Eventos Corporativos Madrid) is the MC Group brand specialising in MICE in Madrid: congresses, company conventions, incentive travel, meetings, gala dinners and DMC services. The team has more than 20 years of experience organising events and has organised more than 100 corporate events in Madrid. More information under about us.

How are you related to ECB and Marca Condal?

All three are MC Group brands. ECB · Eventos Corporativos Barcelona does in Barcelona what ECM does in Madrid, and Marca Condal is the group's events, MICE and brand experience agency. We share a team, a method and a motto: «Eventos extraordinarios».

Have you organised events in Madrid before?

Yes, for years. The MC Group team has organised more than 100 corporate events in Madrid and has dedicated staff and event planners in the city. Some examples with a full case study: Edenred's Christmas dinners at Espacio Harley and at Hard Rock Cafe Madrid, Lindt's roadshow, Provital's workshop and Beso's 10th anniversary at Florida Park. You will find them all under case studies.

What kind of events do you organise?

Congresses, company conventions and sales kick-offs, meetings and seminars, incentive travel, gala dinners, product launches, trade show hospitality at IFEMA, team building within conventions and incentives, and DMC programmes for international groups. We compare them under corporate events.

Which languages do you work in?

The team works in Spanish and English. For groups, we arrange guides, hosts and interpreters in other languages, such as French, German, Italian or Portuguese. The website is available in Spanish and English.

Budget and booking

How quickly do you send a proposal?

We send you a first proposal within 24 business hours of receiving the brief, with available venues, a recommended format and an initial estimate. If the event needs site visits or hotel room blocks, we set out the next steps and timings in that same reply.

Is there a charge for the proposal?

No. The first proposal and the initial venue visits are free and carry no obligation. Only when you decide to go ahead do we formalise the brief and start contracting venues and suppliers.

What information do you need to prepare a budget?

The type of event, approximate dates, number of attendees and the objective are enough to get started. If you also give us an indicative budget, tell us whether accommodation is needed and where attendees are travelling from, the proposal will be far more precise.

Why don't you publish prices?

Because every event combines very different budget lines: venue, hotel, catering, AV, transfers, staff and season. A generic price would confuse more than it helps. In the guide what a company convention in Madrid costs we explain which lines weigh most and how to adjust them.

How is the budget presented?

Itemised by budget line, so you can see what each part of the event costs and decide where to invest and where to trim. At the end we send you the final account with the same breakdown, including any changes along the way.

Venues, hotels and IFEMA

How do you choose the venue for an event?

We start from the number of attendees, the format, the dates, the area and the event's message. Then we check real availability, rules, build times, catering exclusivities and access, and propose two or three options side by side. See venues.

Are the capacities on your venue pages reliable?

They come from official sources, such as each venue's website or the Madrid Convention Bureau, which we cite on the page. Where sources disagree, we give the more conservative figure or leave it out. Even so, the real capacity depends on the set-up, and we check it for each event.

What is the largest convention centre in Madrid?

The IFEMA MADRID exhibition centre, in Campo de las Naciones, with more than 200,000 m² of exhibition space and two convention centres. Its offer includes the Palacio Municipal, with an auditorium of 1,812 seats and 32 rooms. We compare them under convention centres.

Which Madrid hotel works for a large convention?

For large groups with accommodation, hotels such as the Madrid Marriott Auditorium, with an auditorium for 2,000 people and 869 bedrooms, or the large hotels on the Castellana. You will find the comparison under convention hotels.

Do you handle hotel room blocks?

Yes. We negotiate the block with the hotel, monitor the allocation and release dates, manage the rooming list and deal with last-minute changes. It is one of the budget lines with the most financial risk if nobody keeps an eye on it.

Can events be held in palaces and historic buildings in Madrid?

Yes, in several, subject to conditions. Rooms such as those at the Casino de Madrid, Casa de América or the Real Fábrica de Tapices host private events with their own capacities and rules. See unique venues.

Congresses, conventions and incentives

Do you act as a PCO?

Yes. We manage the venue, congress secretariat, registration, accommodation, speakers, production and social programme, in coordination with the organising and scientific committees. You can hand us the full service or just some parts. See congress organisation.

How does Madrid rank as a congress city?

In the 2025 ICCA ranking, published in May 2026, Madrid was the thirteenth city in the world, with 108 international association meetings. According to the Madrid Convention Bureau, 54,784 meetings with 2.58 million participants were held in the city in 2024. More data under MICE Madrid.

How many days should a convention in Madrid last?

With Madrid-based teams, one day with a dinner is usually enough. If the group is coming from other cities, two days and one night. With an awards gala and a team activity, three. You will find sample agendas under convention programmes.

How many days should an incentive trip last?

Most programmes work well over three or four days: the city, a special dinner and a day trip to Toledo or Segovia. For groups from other continents we recommend four or five days. See incentive travel.

Which day trips from Madrid do you recommend?

Toledo and Segovia, less than 35 minutes away by high-speed train; the Sierra de Guadarrama, for nature and sport just over an hour away; and Aranjuez and Chinchón, to the south, for history and food.

Do you work as a DMC for overseas agencies?

Yes. We can be the local partner in Madrid for agencies from other countries and prepare the programme on a white-label basis for them to present to their client. See DMC Madrid.

Logistics and destination

What is the best time of year for an event in Madrid?

Spring and autumn are the most sought-after seasons because of the weather and, for that reason, the most expensive. July and August are hot, with less corporate activity. We go through it month by month in the guide the best time for events in Madrid.

Which weeks should we avoid?

The weeks of major trade shows and congresses, when hotels raise their rates and venues sell out. In 2027, FITUR runs from 20 to 24 January and ARCOmadrid from 3 to 7 March, both at IFEMA MADRID. You will find the rest in the Madrid trade show calendar 2027.

Do you handle transfers from the airport and stations?

Yes. We organise pick-ups at Madrid-Barajas and at Atocha and Chamartín stations, with flight and train tracking, coaches throughout the programme and private cars for executives and speakers.

Madrid or Barcelona for my event?

Both work very well, and MC Group works in both. Madrid stands out for its connections, IFEMA and its institutional and business weight; Barcelona for the sea and its congress tradition. We compare them in the guide Madrid or Barcelona for events.

What happens if it rains or is very hot on the day?

Every outdoor activity has a plan B booked from the outset: an indoor room, a marquee or an alternative time slot. In summer we schedule outdoor elements early in the morning or at dusk and decide in advance at what time the plan B kicks in.
