What does a DMC in Madrid do?
When a company in Frankfurt, London or Mexico City decides to take its team to Madrid, it needs someone in the city who knows which hotel suits the group, which restaurant can serve 150 people at once, how long a coach really takes from Barajas at six in the evening and which weeks are best avoided. That is what a DMC is for: turning a programme designed from afar into something that works on the ground.
Madrid receives a great deal of international meetings tourism. According to the Madrid Convention Bureau, international meeting participants stayed in the city for an average of 4.5 days in 2024. These are long stays that combine work, culture and food, and they call for a local partner able to cover all of it.
Who we work with
- International companies organising their convention, leadership meeting or incentive in Madrid without their own team in Spain.
- Event and incentive agencies from other countries that need a local partner, often on a white-label basis.
- Associations and PCOs from abroad holding a congress in Madrid and looking for support with hotels, transfers and the social programme.
- Spanish companies with delegations arriving from abroad, such as subsidiaries, clients or partners.
How we work with overseas agencies
- We receive your brief with dates, number of participants, group profile and indicative budget.
- We send you a proposal within 24 business hours, in Spanish or English, with hotel, programme and itemised estimate. If you work white-label, we prepare it without our branding.
- We refine the programme with you as many times as needed until your client approves it.
- We contract hotels, restaurants, guides, transport and suppliers in your name or ours, as you prefer.
- We welcome the group and stay with it throughout the programme with on-site coordinators.
- We close with an itemised final account and a report for your client.

Languages and international groups
We work in Spanish and English and arrange guides and interpreters in other languages. We also adapt the programme to the habits of each market: mealtimes, dietary preferences, the pace of visits and the type of activities. Dinner time in Madrid surprises many groups from abroad, so we explain it in advance and adjust the programme to make it work.
The group's experience
In Madrid, the team has organised more than 100 corporate events and has dedicated staff and event planners in the city who know its hotels, venues and suppliers. They include Edenred's Christmas dinners at Espacio Harley and at Hard Rock Cafe Madrid. As the local partner for international companies, the group has also worked in Barcelona: client events during trade shows such as ISE, Meliá's welcome for the IBTM Hosted Buyers and the WSEI international medical congress. All the projects, each with its real city, are under case studies.
What we need in the brief
- Dates and alternatives, number of participants and where they are coming from.
- Group profile: sales staff, clients, executives, doctors, accompanying persons.
- Purpose of the trip and must-have moments.
- Hotel category and room type.
- Indicative budget per person or in total.
- Working language and the group's language.
Site inspections
Before deciding, many agencies and companies want to see the destination. We organise one or two-day site inspections covering hotels, dinner venues and restaurants, so the trip is worthwhile. If you cannot come, we do the visits for you and send you video, photos, floor plans and our production notes.
Why a local DMC
From abroad it is easy to book a hotel; the hard part is everything around it. A DMC with offices in Madrid can visit a venue the same week, negotiate face to face, respond to a delayed flight or a last-minute change and know the city as it works on an ordinary Tuesday, not as it looks in a brochure. If your programme includes an event, see also corporate events and gala dinners.
