Why organise an event during a trade show?
During a major trade show, your clients, distributors and the trade press are all in the same city for a few days. It is the chance to bring them together away from the noise of the hall, with time to talk, in a setting a stand cannot offer. For many companies, the dinner or reception during show week generates more sales conversations than all the hours spent at the exhibition centre.
The problem is that every brand has the same idea. During FITUR week, Madrid competes for the same restaurants, halls, coaches, technicians and waiting staff. Whoever books late chooses from what is left. That is why it pays to request a proposal as soon as the dates of the next edition are known, and to hold the venue with an option while everything else is finalised.

In autumn 2026, for example, Madrid hosts the European Society for Medical Oncology (ESMO) Congress, from 23 to 27 October, with 37,000 delegates expected according to the Madrid Convention Bureau. You will find the dates of the other trade shows in the Madrid trade show calendar 2027.
Our experience during trade show weeks
Trade show weeks have a logic of their own, and the MC Group team knows it well: every year it produces brand events in Barcelona for Logitech, Microsoft and Yealink during ISE and MWC, with partner dinners, VIP receptions and channel meetings in unique venues. Those projects, each with its real city, are under case studies. In Madrid, where the team has organised more than 100 corporate events with dedicated staff and event planners, we work to the same rules: book early, sort out the transfers and plan for drop-outs.
Which format suits your objective?
| Objective | Format | Usual size | When to schedule it |
|---|---|---|---|
| Closing deals with key clients | Private dinner in a hall or restaurant | 10 to 40 guests | Second or third night |
| Strengthening the channel relationship | Partner meeting followed by drinks | 30 to 200 guests | First day, before diaries fill up |
| Raising your profile in the industry | Reception or brand party | 150 to 600 guests | The middle night of the show |
| Looking after executives from head office | VIP programme with dinner and an activity | 5 to 20 guests | Around their travel schedule |
| Preparing the sales team | Breakfast or working session | 20 to 80 people | Before the exhibition centre opens |
At shows such as FITUR or ARCOmadrid, which have trade days and days open to the public, it is best to concentrate client events on the trade days, when your guests are in town.
How do we run a trade show event?
- We choose the night. We look at your diary and your guests' diaries to find the day with the least competition.
- Proposal within 24 business hours with venues available on that date, a concept and an estimate.
- Fast booking. During show week, availability changes from one day to the next. We hold the venue as soon as you give the go-ahead.
- Invitations and RSVPs. Sending, managing replies and reminders.
- Production. Build, AV, catering, entertainment, staff and transfers from the exhibition centre.
- The night. Our team at the venue and coordinators at the IFEMA exit and on the coaches.
Logistics tips for trade show weeks in Madrid
- The hotel comes first. During major trade show and congress weeks, rates go up and availability drops, especially around Campo de las Naciones.
- The transfer decides attendance. Leaving IFEMA at closing time with traffic on the M-40 and the A-2 takes time. Dedicated coaches departing from a fixed point, with a coordinator, make all the difference.
- Nearby or in the centre. A hall near the exhibition centre maximises attendance; a venue in the centre gives the evening more character. We choose according to the guest profile.
- Allow for drop-outs. During show week there are always guests who do not make it. Set capacity and catering with a margin.
- Think about the next morning. A dinner that finishes late empties the stand first thing. Set a reasonable finishing time.
If your company is exhibiting at or sponsoring a trade show in Madrid, write to us with the date. The sooner you do, the more venues will still be available.
