Why Madrid for an incentive trip?
Madrid is a city best enjoyed on foot and one that stays up late. Within a few kilometres it brings together three of Europe's great art museums on the Paseo del Prado, the Royal Palace, neighbourhoods with real personality such as La Latina, Malasaña and the Barrio de las Letras, and a food scene that ranges from century-old taverns to Michelin-starred restaurants. The Paseo del Prado and the Buen Retiro also make up the Landscape of Light, inscribed on the UNESCO World Heritage List.
For the organiser, Madrid adds two practical advantages. The first is getting there: Madrid-Barajas airport closed 2025 with 68.2 million passengers, according to Aena, and connects with the main markets in Europe and the Americas. The second is day trips: Toledo and Segovia, two World Heritage cities, are less than 40 minutes away by high-speed train, so you can spend a day out without losing the evening in the city.
How do we design an incentive?
- We understand the reward. Who is travelling, why they are being rewarded, what they have already seen and how they should feel when they get home.
- We propose within 24 business hours a sample programme with hotel, activities, dinners and an itemised estimate.
- We fine-tune it with you: pace, activity level, free time and surprise moments.
- We produce the bookings, guides, transport, menus, welcome gifts and participant materials.
- We stay with the group with on-site coordinators from arrival to the final transfer.
- We wrap up with a survey, a final account and ideas for the next edition.
A three-day programme, as an example
This outline is indicative, for a group of 40 to 120 people. Every real programme is designed from scratch.
| Time | Day 1 | Day 2 | Day 3 |
|---|---|---|---|
| Morning | Arrival at Barajas and transfer to the hotel | Guided visit to a museum on the Paseo del Prado | High-speed train to Toledo or Segovia and visit with an official guide |
| Midday | Welcome lunch in the centre | Cookery workshop or lunch at a market | Traditional lunch at the destination |
| Afternoon | Walk through the Madrid de los Austrias and free time | Free time or optional activity: shopping, sport or spa | Return to Madrid and free time |
| Evening | Drinks on a rooftop terrace | Private gala dinner in a palace or a historic club | Informal dinner and a night out |
The day two dinner is usually the centrepiece of the programme: it is when the company recognises the winners and when the most special venue makes sense. If the group stays a fourth day, we add a different experience, such as a day in the Sierra de Guadarrama or a visit to Aranjuez and Chinchón.
Day trips from Madrid
- Toledo. About 33 minutes by high-speed train from Atocha. Cathedral, Jewish quarter and views over the Tagus, with lunch options for groups and cigarrales (country estates) for events. See the Toledo convention programme.
- Segovia. About 27 minutes by high-speed train from Chamartín. The aqueduct, the Alcázar and roast suckling pig as a food experience. See the Segovia programme.
- Sierra de Guadarrama. Nature, walking routes and sport just over an hour away by road, with rural hotels for groups. See the mountain programme.
- Aranjuez and Chinchón. The Royal Palace and gardens in Aranjuez, and the main square and food of Chinchón, south of the capital. See the Aranjuez and Chinchón programme.
Incentives for teams and for clients
An incentive for sales staff and one for clients look similar logistically, but not in tone. Sales teams appreciate energy, shared activities and visible recognition in front of their colleagues. Clients value exclusivity, time with the company's leadership and attention to detail. For distributor groups, we often add a short working session that justifies the trip without taking the spotlight off the reward.
Multi-day programmes in the city
Madrid allows long programmes without repeating experiences: one day of art on the Paseo del Prado, another of neighbourhoods and markets, another of football or sport, another out of town. If your group is staying five days, we combine the city and its surroundings so each day has its own character. You will find ideas by length in the guide incentive travel to Madrid: itineraries.
What we usually advise
- Book the hotel and the main dinner early. They are the two elements with the fewest alternatives in high season and during trade show weeks.
- Leave genuine free time. Participants who can stroll or shop at their own pace value the trip more.
- Get the arrival right. The first transfer and the welcome at the hotel set the tone for the whole programme.
- Adapt timings to the weather. In summer, outdoor activities early in the morning or at dusk; in winter, more museums and food.
- Respect Spanish hours. Dinners in Madrid start later than in other countries. We explain this to the group and adjust the programme so it is not a problem.
If you are thinking about an incentive, tell us about the group and we will send you a proposal within 24 business hours.
