A four-day, three-night convention in Madrid combines convention content with an incentive element. We propose a base at the Eurostars Madrid Tower, two days in the meeting room, a day in Toledo half an hour away by train and an awards gala at Casa de América. We handle the hotel, production, excursion, gala and transfers.
When is it worth extending to four days?
When the group travels a long way and the trip is part of the recognition. It is the format for international conventions with teams from several countries, for partner meetings that mix business and relationship building, and for sales conventions that reward top performers with a day out of the meeting room.
With three nights, the pace changes: there are days of intense content, a day to breathe and an unhurried final morning. This is an indicative sample programme; we adjust it to your content, your group and your dates. If you are looking for ideas for the reward element, you will find them in incentive travel and in our guide to incentive itineraries in Madrid.
Why the Eurostars Madrid Tower?
The Eurostars Madrid Tower occupies one of the Cuatro Torres, at the northern end of the Paseo de la Castellana. For a longer convention it offers two things that make a difference. First, a large ballroom: according to the hotel's website, the Gran Barcelona measures 1,500 m² with no pillars and hosts events of up to 1,300 guests. Second, rooms spread across floors 3, 6, 28, 29 and 30, with the 300 m² Panoramic Hall on the top floor for drinks with a view.
That means the plenary and the breakouts do not compete for the same space, and the first night has its own setting without leaving the building. If you need a hotel closer to the historic centre, the Meliá Castilla or the NH Collection Madrid Eurobuilding play the same role. We compare them in our guide to the best convention hotels in Madrid.
The day in Toledo
Toledo is the excursion that fits a Madrid convention best. The Avant train takes about 33 minutes from Madrid Puerta de Atocha, and the old town, a UNESCO World Heritage Site, is explored on foot in small groups with official guides. We suggest the cathedral, the Jewish quarter and the viewpoints in the morning, marzipan and damascene work before lunch, and a La Mancha lunch at a restaurant reserved for the group.
The station sits at the foot of the city and the old town is on the hill, so we have coaches waiting on arrival. We return mid-afternoon so there is time to rest before the gala. If you would rather spend longer there, see the convention programme in Toledo, with a night in the city.
The gala at Casa de América
For the gala we propose Casa de América, in the Palacio de Linares, facing Plaza de Cibeles. It is a 19th-century palace on the Prado-Recoletos axis, with period rooms that work very well for a mid-sized awards dinner. We agree capacity and set-up with the venue according to the group; if the group is very large, the gala stays in the hotel's Gran Barcelona. More ideas in gala dinners.

Logistics and transfers
The hotel is at number 259-B on the Castellana, about 20-25 minutes from the airport by coach in normal traffic and a short ride from Chamartín. We organise arrivals in time slots, with the opening after lunch to absorb delays.
For Toledo we issue group tickets in advance and book coaches at the destination. The gala is about 20-25 minutes from the hotel by coach. On the last day, departure transfers start in the morning for those on early flights and continue after lunch.
What changes with the season
Spring and autumn are the best seasons: the day in Toledo can be enjoyed outdoors and the dinners by neighbourhood can use terraces. In July and August the heat in Toledo is intense, so we bring the visit forward or suggest Segovia. In winter the neighbourhood dinners are indoors and the Toledo visit includes more museums. Our guide to the best time for events in Madrid covers it month by month.
Budget: what it depends on
The cost items are three nights' accommodation, rooms and the day delegate package, production for the plenaries and gala, the gala venue and styling, the dinners by neighbourhood, train tickets and coaches, guides and lunch for the Toledo day, entertainment and arrival and departure transfers. What weighs most is the season, the gala production and the number of services outside the hotel. We explain it in how much a convention in Madrid costs.
The MC Group team has more than 20 years of experience producing conventions and incentives and has organised more than 100 corporate events in Madrid, with dedicated staff and event planners in the city. If you want a shorter format, see the 3-day programme; if you would rather take the whole convention out of the city, the convention in Segovia.
Tell us about your convention and within 24 business hours we will send you a proposal with hotel, excursion, gala and an itemised estimate.
